Activity Support Fund Policy

Aim of the Fund:

To ensure members of the Group are not prevented from engaging in activities or events due to financial constraints.

The process should be speedy, confidential and not rules constrained.

Scope of the potential support:

  • Individual Group members who through personal or family circumstances cannot fund their involvement in activities or events which are considered by the Section Leader or GSL to be appropriate to the member.

  • Groups or teams of members seeking funding to engage in an activity where funding constraints may otherwise prevent their participation.

  • Funding of any special equipment to enable individual’s participation in Scouting which would otherwise be a constraint.

Applications for awards:

The recommendation of the SL or GSL will be made in writing to the Appeals Team. This will include –

  1. A description of the event/activity, outline costs and contribution level sought.
  2. How the activity/event in question will contribute to the aims of Scouting in respect of the individual’s personal development.
  3. The financial/family background giving rise to the request e.g. an understanding as to why the family/individual is unable to pay in full.
  4. How the individual works generally within the Group/Section e.g. full participation, commitment levels, behaviour and reliability.
  5. The Leader’s personal recommendation.

Other Considerations

  1. Consideration should always be given as to whether applications might also be possible to external funding sources.
  2. All applications must have been discussed sensitively with parents/guardians who must be aware of the application.
  3. An Appeals Team of 3 will decide on applications.
  4. 1 member of the Appeals Team will be a member of the Group Executive Committee and the other 2 shall be independent nominees (nominated by the Group Executive Committee).
  5. A brief description of the appeal request will be prepared by the submitting leaders
  6. A majority agreement of the Appeals Team is required to release funds.
  7. Funds will be administered by the Group Treasurer.
  8. Details of any awards will remain confidential to those directly involved in the process.
  9. Each year the Group Treasurer will issue a paper to the Group Executive and appeals Team members summarising Support Fund activity.

The Group website will carry information on the fund and contain an (optional) application form.

The Group Executive may amend or alter the above notes at any time.
